Host terms
If you run a workshop at Pia’s, you’re the maker and we’re the venue. These are the terms you agree to when you send a proposal. Short, fair, and written to be read.

Who this is for
These terms apply to anyone who runs a workshop, class or event at Pia’s Place, 114 High Street, King’s Lynn, Norfolk PE30 1DD (“the host”, “you”). You run the session as an independent service provider, not as an employee of Pia’s Place. You agree to them by sending a proposal through the website or by confirming a date with Pia.
How it works
- You send a proposal with the details of the workshop: what it is, when, how long, the price, the maximum number of people, and an image for the website.
- Pia confirms the date and the details with you. Nothing is public until she has.
- We list the workshop on the website and take the bookings and payments through it. You may also sell places directly, as long as you tell us the names so the numbers add up.
- On the day you run the session. We provide the room, tables, chairs, the café, and a friendly welcome.
Money
- Pia’s Place’s fee is 10% of the ticket price of every place sold, payable to Pia’s Place.
- Guests book through our website, or in person at Pia’s Place, and pay a £5 non-refundable deposit per place online (workshops of £5 or less are paid in full online). The deposits are paid to Pia’s Place, and our 10% is taken out of them.
- You collect the rest of the ticket price from your guests in person on the day.
- Within seven days of the workshop Pia pays you the deposits, less the 10%, by bank transfer, with a list of who booked and what they paid. On tickets over £50 the 10% is more than the £5 deposit; the difference is then settled with Pia after the workshop.
- Anything sold separately on the day, for example pottery pieces or extra materials, is yours entirely.
- Refunds follow our booking policy. A guest who cancels loses their deposit, and it still counts as a sale.
- You are responsible for your own tax on what you earn.
Bookings and numbers
- You set the maximum number of places. The room comfortably holds 28 around the workshop tables.
- If a session needs a minimum number to run, say so in your proposal. If that number is not reached three days before, you and Pia decide together whether to run it or move it, and customers get a full refund or a new date.
- You can see who has booked at any time by asking Pia; Backstage keeps a live list.
On the day
- Arrive in good time to set up; the room is yours from 30 minutes before the start unless we agree otherwise.
- Coffee, tea and cakes are available from the café for your guests to buy. If you would like Pia to provide food or drink as part of the ticket, such as a grazing board or a light lunch, agree it in advance; the cost is taken out of ticket sales before the split.
- Please leave the space as you found it. We will help you clear up.
Materials, safety and insurance
- You bring the materials and tools your workshop needs, and you are responsible for using them safely and for telling guests about anything that can irritate skin or needs care.
- You hold your own public liability insurance for the sessions you run, and you can show it to us if we ask.
- If children attend a family session, a parent or guardian stays with them throughout. You are not responsible for supervising children.
Promotion and images
- The image you send is used on the website and may be used on our social media to promote the workshop. It must be yours to use, and it should be a photo or illustration of the work or the workshop, not a poster with text, because the details come from what you typed.
- We may take photos during the session for our website and social media. Guests can opt out on the day, and so can you.
- Please tag Pia’s Place when you promote the workshop yourself.
- You are welcome to put an A4 poster up in the shop. It must include our logo, the booking QR code, “£5 non-refundable deposit payable online, balance paid in person” and “All bookings to be made through our website or in person at Pia’s Place, 114 High Street”. The poster guidelines have the logo and QR code to download.
Cancelling or moving a date
- If you need to cancel or move a date, tell Pia as early as you can. We email everyone booked and offer a refund or the new date.
- If you cancel, the 10% fee on bookings that have already been paid is still owed to Pia’s Place, even though the guests are refunded.
- If you cancel with less than seven days’ notice without a good reason, we may ask you to cover any costs we have already incurred for the session, for example food that has been ordered.
- If we have to cancel, for example if the shop cannot open, we tell you and the guests straight away and no fee is charged to you.
Changes to these terms
We may update these terms from time to time. A workshop runs under the terms in force when its date was confirmed.
